Event terms & cancellation policy

Event terms

  • We reserve the right to film and/or photograph Brass Bands England (BBE) events and use the material within our communications. If applicable, you will be given the right to opt-out of appearing within any materials we share at the time of the event.
  • Some events listed on the Brass Bands England website are not overseen by Brass Bands England but are organised by partner organisations we work with. In such cases, this will be clearly communicated on the event listing. BBE cannot accept responsibility for any issues, financial or otherwise, that happen as a result of booking onto or attending one of these events. However, we would be happy to receive any feedback relating to such events, and can put you in touch with the organisers where appropriate.

Event Cancellation

  1. Brass Bands England reserves the right to cancel any event, if unforeseen circumstances arise, or prospective attendees are not sufficient to make the event tenable. 
    1. Participants with places booked onto training events i.e. BandSafe, will be offered a place on an alternative course, or a full refund. 
    2. Participants with places booked on one-off events where no reasonable alternative is available will be offered a full refund.

Participant Cancellation

  1. If you are unable to attend any event, you will be able to transfer your booking to someone else to attend.
    1. Transfers will only be made where the individuals are on the same ‘fee level’ i.e. an event booked at a ‘BBE Member’ discounted price cannot be transferred to a Non-Member.
  2. Depending on the type of event, you may not be subject to a full refund if you cancel your booking close to the event, or do not attend the event without informing us of your cancellation.
    1. BandSafe - If you cancel your booking on a training event with less than 24 hours before the course commencement, or do not attend you will be entitled to a refund of 50% of the fee for each participant. 
    2. Band Organisation Essentials / Future Proofing Your Band - If you cancel your booking on a training event with less than 24 hours before the course commencement, or do not attend you will be entitled to a refund of 50% of the fee for each participant.
    3. The Brass Band Conference - Due to the nature of organising large-scale events we cannot guarantee refunds for cancellations to the Brass Band Conference. If you have a valid reason why you will be unable to attend, we will consider refund requests received in writing to events@bbe.org.uk that are received no later than 10 working days prior to the event. If you have claimed a free Member Ticket for your Member Band and fail to attend the event or fail to cancel your place prior to 10 working days before the event, a catering fee of £10 will be invoiced to your band.
    4. Webinars - If you cancel your booking for a place on a webinar event with less than 24 hours to go you will not be entitled to a refund.
    5. Youth Champs -  Due to the nature of organising large-scale events we cannot guarantee refunds for cancellations to Youth Champs. If you have a valid reason why you will be unable to attend, we will consider refund requests received in writing to events@bbe.org.uk that are received no later than 10 working days prior to the event.
    6. Youth Festival - Due to the nature of organising large-scale events we cannot guarantee refunds for cancellations to Youth Champs. If you have a valid reason why you will be unable to attend, we will consider refund requests received in writing to events@bbe.org.uk that are received no later than 10 working days prior to the event. Performance spaces are limited, so to ensure commitment there will be a cancellation fee of £40 should you cancel you cancel your entry after Friday 3 May.
  3. In the event of a participant cancelling their place on an event, a refund will not be issued automatically and must be requested in writing by the participant to events@bbe.org.uk. Please consider your place cancelled on receipt of an email acknowledgement of your cancellation by a member of the BBE team.

St John Ambulance Courses

Transferring bookings

  • More than 4 weeks before the training course is due to commence:
    • First transfer at no charge
    • Subsequent transfer: 25% of amount charged to St John Ambulance plus £5 BBE Administration fee.
  • Between 2-4 weeks before the training course is due to commence:
    • 25% of booking fee will be charged as a transfer fee to St John Ambulance plus £5 BBE Administration fee.
  • Less than 2 weeks before the training course is due to commence:
    • 50% of booking fee will be charged as a transfer fee to St John Ambulance plus £5 BBE Administration fee.

Cancelling Bookings

  • More than 4 weeks before the training course is due to commence:
    • Full refund on booking fee

  • Between 2-4 weeks before the training course is due to commence:

    • 50% of booking fee will refunded, less a £5 BBE Administration fee.

  • Less than 2 weeks before the training course is due to commence:

    • The booking fee will not be refunded.

  • If the course is cancelled by St John Ambulance and not the participant then the fee will be refunded in full.
